How to separate Contacts and Policies from an existing Account
Scenario One: Where Husband and Wife separate and you need to treat them as individual clients or;
Scenario Two: Could be where you have a Husband and Wife who also own a business and you want to treat the business separately.
In these cases where you need to separate the relationship inside Adviser CRM and have them as two separate clients. The can easily be done, and we have outlined the steps for you here, and we have also provided a video tutorial for you to follow.
YOU DO NOT NEED TO DELETE CONTACTS OR POLICIES, OTHERWISE YOU WILL LOSE ALL HISTORICAL DATA, WHICH YOU MAY NEED LATER FOR AUDITING.
- You will need to decide which Contact you are going to move away from the existing Account. In our video example, we decided to move John away from the Account because the Children are going to stay with Josephine so it will be easier to move one person than Josephine and three children. If the children were staying with John and Josephine was leaving then there would have been no need to rename the existing account. You would only have have needed to create a new Account for Josephine called Josephine Smith Family/
- Since we are moving John to a new Account, we cannot have two John Smith Accounts so in this case, we renamed the existing Account from John Smith Family to Josephine Smith Family. This now leaves us free to create a new Account called John Smith and move him to this new Account.
- Once we link John Smith to the new John Smith Account (in the video) we need to then take care of the insurance policies.
- In this scenario, Josephine is going to keep the existing policy number and John is going to be issued with a new policy number and his insured benefits will be transferred to his new policy number.
- What we did is created a new Policy with a new Policy Number that the insurer gave John and we then went to his existing old policy still in Josephine's account and opened the policy then edited the policy benefits that John is insured for a re-linked them to the new Policy we created for John, with the new Policy number.
- We re-linked all policy benefits from his previous policy with Josephine to his new Policy under his new Account.
